2. Information We Collect

  • Account data: name, email, business name, phone number when you register.
  • Call data: transcripts and summaries of calls handled by your AI receptionist.
  • Lead data: caller name, phone number, and qualifying answers captured during calls.
  • Usage data: minutes used, number of calls, plan tier, and billing information (processed by Stripe).
  • Calendar data: if you connect Google Calendar, we access only free/busy slots to book appointments.

3. How We Use Your Information

  • To provide and operate the TechFlow AI service.
  • To send lead alerts and follow-up sequences on your behalf.
  • To generate monthly reports and dashboard analytics.
  • To process payments and manage your subscription.
  • To send transactional emails (account, billing, support).

3a. SMS Communications

By registering for TechFlow AI, you agree to receive SMS messages from TechFlow AI (Summit Digital Holdings LLC) at the phone number you provide. These messages may include:

  • Lead alerts from your AI phone receptionist
  • Appointment confirmation and reminder notifications
  • Account and billing notifications
  • Service status updates

Message and data rates may apply. Message frequency varies based on your account activity. You may opt out at any time by replying STOP to any message. Reply HELP for assistance. For full SMS terms, see our SMS Terms. Consent to receive SMS is not a condition of purchase.

4. Data Sharing

We do not sell your data. We share data only with the third-party services required to operate TechFlow AI:

  • VAPI — AI voice processing
  • Twilio — phone number provisioning and SMS
  • Stripe — payment processing
  • Google — calendar integration (only if you connect it)

5. Call Recording & Transcripts

Calls handled by your AI receptionist may be recorded and transcribed. You are responsible for complying with applicable call recording laws in your jurisdiction (e.g., two-party consent states). By using TechFlow AI, you represent that you have obtained any required consents from your callers.

6. Data Retention

Call transcripts and lead data are retained for as long as your account is active. You may delete individual records from your dashboard at any time. Upon account cancellation, data is deleted within 30 days.

7. Security

We use industry-standard measures including HTTPS, encrypted databases, and access controls. No system is 100% secure; use TechFlow AI at your own risk.

8. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing support@techflow.cloud. We will respond within 30 days.

9. Changes to This Policy

We may update this policy periodically. Material changes will be communicated via email. Continued use of the service after changes constitutes acceptance.
